By purchasing tickets to one of our special events, you understand and agree to the following policies:

 

 

Ticket Information

Tickets are non-refundable. After completing your purchase, you will receive an email confirmation. Click the link on your “e-ticket” email and show the QR Code tickets upon entry during check-in.

  TICKET EXCHANGE INSTRUCTIONS  

Tickets purchased via ShowClix are exchangeable – based on availability. In order to manage self-serve exchanges to other nights, we strongly encourage guests to create an account prior to completing the sale. There will be a prompt to do so.

Tickets will not be replaced if lost, stolen, or unused.

Outdoor Event Weather Policy

Outdoor special events are held weather-permitting.

Outdoor special events are subject to cancellation and delays for inclement weather impacting the safety of guests, volunteers, partners, and staff.

Weather conditions warranting cancellation and delays are heavy rain, lighting (within a 12-mile radius of the venue), high winds, and sleet – either in progress or forecast with a high degree of probability.

When weather conditions merit, the Arts & Recreation Foundation of Overland Park will implement the Event Cancellation Procedures included here as part of this policy.

NO REFUNDS will be issued for canceled or delayed outdoor events. Re-scheduling options are listed in the Event Cancellation Procedures.

Ticket purchasers are required to agree to the terms of this policy at the time of purchase in order to complete the sale.

The Arts & Recreation Foundation is grateful to all who purchase tickets to its outdoor special events for contributing to the future of the Overland Park Arboretum & Botanical Gardens and Deanna Rose Children’s Farmstead, the gems of our community.

Outdoor Event Cancellation Procedures

Conditions and circumstances for cancellation include:

  • Pre-event damage to the venue making it unsafe
  • Inclement weather
    • Lightning within a 12-mile radius of the venue
    • Heavy rain
    • High wind
    • Sleet
    • Ice on paths and roadways
  • Security threat
  • Other acts of God

How we communicate cancellations and delays:

  • When pre-event conditions (such as fire, wind damage, standing water, unsafe roads and walkways) have made the venue unsafe – Notice of cancellation will be communicated to all ticket holders via email, on the event web page, and to the public via Facebook and Instagram as soon as the determination is made – no later than 1:00 p.m. on the day of the event.
  • When severe weather (such as heavy precipitation, lightning and/or strong winds) is forecast with a high-degree of probability (as determined by City of Overland Park and ARFOP staff) – Notice of cancellation will be communicated to all ticket holders via email, on the event web page, and to the public via Facebook and Instagram as soon as the determination is made – no later than 1:00 p.m. on the day of the event.
  • If weather conditions look questionable and/or develop after that deadline (such as a pop-up storm) – All ticket-holders are urged to check the event’s main web page periodically for alerts and the most up-to-date information about possible cancellation or delays.
  • When weather conditions develop during the event, all ticket holders for that date will be alerted to the situation.
    • For ticket holders who have arrived on property, staff and volunteers will communicate via public address system or one-on-one that (1) the event is paused but expected to resume or (2) the remainder of the event is cancelled. Guests may be asked to take shelter on site or in their vehicles or evacuate the venue – whichever is most appropriate.
    • In order to reach those ticket-holders who have not yet reached the venue, ARFOP staff will communicate the situation via the web site, email and social media. Again, when questionable conditions are in the area, all ticket-holders are urged to be alert for such communication.

Ticket-holder options if the event is canceled:

  • Option 1 – Ticket Swap – Ticket holders have the ability to swap their tickets for any other day/night of the event, subject to the availability (for any reason). In order to manage self-serve exchanges, we strongly encourage creating an account prior to completing sale on the ticketing platform. There is a prompt to do so.
  • Option 2 – Rescheduled Date – Ticket holders may utilize their existing tickets at a designated “rain date” event (if provided) without any further action. If holding a timed ticket, the entry time remains the same.
  • Option 3 (for single-day events or final-night cancellations only) – Ticket holders will automatically receive a coupon code when tickets go on sale for the following year’s event so they can obtain an equal number of tickets at no cost.
  • Option 4 – Upon request, ARFOP staff will provide an acknowledgment for the amount paid for the tickets as a charitable donation.
  • Otherwise – No Refunds. Proceeds from all events benefit the OP Arboretum & Botanical Gardens, Deanna Rose Children’s Farmstead or public art. A sizable portion of ticket sales pay for expenses that must be expended whether the event is held or cancelled. The ARFOP Board of Directors thanks all ticket holders for their understanding and support.

Procedures apply to the following multi-day events:

  • Enchanted Faire at the OP Arboretum & Botanical Gardens
  • Luminary Walk, Candlelight Stroll and Electric Glow at the OP Arboretum & Botanical Gardens
  • Night of the Living Farm at Deanna Rose Children’s Farmstead
  • Pumpkin Hollow at Deanna Rose Children’s Farmstead
  • Terra Luna at the OP Arboretum & Botanical Gardens

Procedures, where applicable, apply to the following single-day events:

  • Botanical Brewfest at the OP Arboretum & Botanical Gardens
  • Georgia’s Chicken Run at Deanna Rose Children’s Farmstead
  • Stems: A Garden Soirée at the OP Arboretum & Botanical Gardens

Procedures may not apply to Biergarten Thursday or Wine Tasting on the Terrace at the OP Arboretum & Botanical Gardens when the events can be moved indoors.

In the event of a “rainout” of the Mayor’s Golf Tournament, each golfer receives a gift certificate for 1 free round of golf with cart at either Sykes-Lady Golf Club or St. Andrews Golf Club, valid for 1-year. The tournament is not re-scheduled.

To avoid the possibility of holding tickets to an event that may be canceled or interrupted by weather, the best course of action is to make the decision to purchase/not purchase tickets on the day of the event. The downside is that the event (or entry time of choice) may be sold out.

 

Photography & Video Policy

When attending one of our special events at the Overland Park Arboretum & Botanical Gardens, Deanna Rose Children’s Farmstead, St. Andrew’s Golf Club, or Fiorella’s Event Center, you enter an area where photography, audio and video recording may occur.

By entering the event premises, you consent to your image and likeness being used and published, without compensation, for advertising and promotional purposes. You voluntarily release the Arts & Recreation Foundation of Overland Park from any liability regarding any such publication, whether now known or hereafter devised, on account of such usage.
